INTRODUCTION

These Terms and Conditions ("Terms") govern all services provided by Global Group Travel Services Pty Ltd ("GGTS", "we", "our", or "us").

GGTS operates as a travel intermediary and booking facilitator. Travel services are arranged through independent third-party suppliers who are approved and vetted,  ("Suppliers"), including but not limited to airlines, hotels, tour operators, transport providers and destination management companies.

By requesting a quotation, making a booking, or using any services provided by GGTS, you acknowledge that you have read, understood and agree to be bound by these Terms.

These Terms constitute the entire agreement between you (the Travel Agent) and GGTS unless otherwise agreed in writing by an authorised officer.

1. ACCEPTANCE OF TERMS

Please read and understand these Terms prior to requesting a booking or making payment.

By requesting a booking, confirming travel arrangements, or making any payment, you confirm acceptance of these Terms.

If any part of these Terms is unclear, you should seek independent advice before proceeding.

2. ROLE OF GGTS

GGTS acts solely as an intermediary between travellers, Travel Agents and Suppliers.

All Travel Products are provided by independent Suppliers and are subject to the Supplier’s own terms and conditions.

GGTS does not own, control or operate the services provided by Suppliers and cannot guarantee their performance, availability or safety.

To the maximum extent permitted by law, GGTS is not liable for:
- acts or omissions of Suppliers
- delays, cancellations or schedule changes
- supplier insolvency
- injury, illness or death
- loss or damage to property

Nothing in this clause excludes rights under Australian Consumer Law.

3. TRAVEL PRODUCT AVAILABILITY

All travel services are subject to availability at the time of booking.

A booking is not confirmed until:
- the required payment has been received; and
- availability has been confirmed by GGTS.

GGTS reserves the right to decline or cancel any booking where Travel Products are no longer available.

4. PRICING AND CURRENCY

Prices are quoted in Australian Dollars (AUD) unless otherwise specified.

Prices are subject to change prior to confirmation due to:
- supplier pricing changes
- currency fluctuations
- changes in government taxes or charges
- airline surcharges
- availability changes

A final price is only confirmed once booking confirmation has been issued and deposit received.

All unpaid amounts remain subject to currency fluctuations and supplier price changes until paid in full.

5. TAXES, CHARGES AND SURCHARGES

Government taxes, supplier fees and surcharges may change at any time.

GGTS reserves the right to adjust pricing due to such changes, including after full payment has been made.

Where a material increase occurs, you may:
- accept the revised pricing; or
- cancel and receive a refund less any unrecoverable supplier costs.

6. AIRFARES

Airfares are subject to airline pricing policies and may change until ticketed.

GGTS does not control airline pricing and accepts no responsibility for airfare increases.

7. EXCLUSIONS

Unless specifically stated, travel prices do not include:
- airfares (unless specified)
- passport or visa fees
- travel insurance
- personal expenses
- meals not listed in itineraries
- tips or gratuities
- excess baggage charges
- medical expenses
- costs arising from refused entry or deportation

8. QUOTATIONS

All quotations are subject to availability and valid for 7 days unless otherwise stated.

A quotation does not constitute a confirmed booking.

9. DEPOSITS AND PAYMENTS

To confirm a booking, you must pay:
- a deposit of at least 20% of the total booking value; plus
- all non-refundable supplier components required at the time of booking.

GGTS may require higher deposits or full payment depending on supplier requirements.

Full payment must be received no later than 60 days prior to departure unless otherwise specified.

Failure to make payment by the due date may result in automatic cancellation of the booking and the application of cancellation fees.

10. TRAVEL AGENT PAYMENTS

Where bookings are made through a Travel Agent:
- all payments are to be made to the Travel Agent unless otherwise specified;
- GGTS is not responsible for any funds paid to a Travel Agent that are not remitted to GGTS.

Any risk associated with funds held by a Travel Agent remains solely with the Travel Agent and/or the traveller.

11. CREDIT CARD PAYMENTS

Payments by credit card may incur a merchant service fee.

This fee will be advised prior to processing and is non-refundable.

12. AMENDMENTS

All booking amendments must be requested in writing.

Amendments may incur:
- administration fees
- supplier amendment fees
- price adjustments based on current rates

Certain changes may be treated as cancellation and rebooking.

13. CANCELLATIONS AND REFUNDS

All cancellations must be submitted in writing.

A minimum cancellation fee of AUD $550 per person applies.

In addition:
- all supplier cancellation fees apply
- all non-refundable components are retained

Refunds:
- are subject to supplier recovery of funds
- may be reduced by currency exchange differences
- may be reduced by international banking fees

Refunds will only be processed once funds have been received from the relevant Supplier.

No refunds are available once travel has commenced.

14. CANCELLATION SCHEDULE

90+ days prior to departure – 25% of total booking value
89–60 days – 50% of total booking value
59–31 days – 75% of total booking value
30 days or less – 100% of total booking value

Non-refundable services are always retained.

15. LIMITATION OF LIABILITY

To the maximum extent permitted by law, GGTS is not liable for:
- indirect or consequential loss
- loss of enjoyment
- loss of opportunity
- additional travel costs

Where liability cannot be excluded, it is limited to:
- resupply of services; or
- payment of the cost of resupply

16. COMPLAINTS

Any issues must be raised immediately with the Supplier.

Written complaints must be submitted within 30 days of travel completion.

Failure to do so may limit any claim.

17. ACCOMMODATION

Accommodation descriptions are based on supplier information and may change.

Images are indicative only.

18. SPECIAL REQUESTS

Special requests must be made at booking but cannot be guaranteed.

19. TRAVELLER CONDUCT

Suppliers may refuse travel where behaviour or condition impacts safety or operations.

No refund will be provided in such circumstances.

20. DOCUMENTATION

Travel documents will be issued once full payment has been received.

21. INSURANCE

Travel insurance is strongly recommended.

GGTS is not responsible for uninsured losses.

22. FORCE MAJEURE

GGTS is not liable for failure or delay caused by events beyond its control, including:
- natural disasters
- pandemics
- government restrictions
- war or civil unrest

Travel arrangements may be modified or cancelled.

23. TRAVELLER RESPONSIBILITIES

Travellers are responsible for:
- valid passports
- visas and entry requirements
- health requirements
- compliance with laws

24. SUPPLIER INSOLVENCY

GGTS is not liable for supplier insolvency.

Alternative arrangements may be offered where possible.

25. INDEMNITY

You agree to indemnify and hold harmless GGTS, its directors, employees and agents from and against any claims, losses, damages, liabilities, costs and expenses (including legal costs on a full indemnity basis) arising out of or in connection with:
- any breach of these Terms by the Travel Agent
- any incorrect, incomplete or misleading information provided
- any failure to comply with applicable laws or regulations
- any act or omission by the Travel Agent or any person acting on its behalf

26. CHARGEBACKS

You and/or the Travel Agent remain fully liable for any chargebacks, payment disputes or reversals relating to bookings made under these Terms.

GGTS reserves the right to recover all outstanding amounts, including any associated fees, administrative costs and legal expenses.

27. AGENCY AUTHORITY

Travel Agents are deemed authorised to act on behalf of travellers.

GGTS may rely on instructions provided by the Travel Agent as if they were provided directly by the traveller.

28. NO FIDUCIARY RELATIONSHIP

GGTS does not act as trustee or fiduciary.

Funds received by GGTS are not held on trust unless required by applicable law.

29. GOVERNING LAW

These Terms are governed by the laws of Victoria, Australia.

30. SURVIVAL

Clauses relating to liability, indemnity, payments and disputes survive termination or completion of travel.
